Building an Estimate: Complete Guide

Overview

Estimates are detailed quotes showing customers what their move will cost. This guide walks through creating an estimate from a lead, building the inventory room by room, and sending it to the customer.

Moving Consultants and Administrators who create customer quotes.

The Estimates Page

Click Estimates in the sidebar to see the list of all estimates with the header "Manage and track your customer estimates".

Estimate statuses you may see: Draft, Sent, Accepted, Signed, Declined, Expired.

Per-estimate actions on the list page: Send, Mark Expired, PDF, View.

Creating an Estimate

Step 1: Start from a Lead

  1. Open the Leads page and click on the customer's lead
  2. On the lead detail page, click the Estimates tab
  3. Click Generate Estimate to open the estimate builder

Step 2: Build the Inventory

The estimate builder organizes the customer's belongings by room. You add the rooms you need from the available room presets:

Room presets: Living Room, Dining Room, Kitchen, Master Bedroom, Bedroom, Bathroom, Home Office, Garage, Basement, Attic, Storage Room, Laundry Room.

For each room:

  1. Add the room and open it
  2. Use the + and buttons next to each item to set quantities
  3. The summary updates in real time as you add items

Note: Adding certain items like TVs may prompt you to add company packing (for example, a TV Box fee).

Step 3: Review the Real-Time Summary

As you build the inventory, the quick summary shows:

A full cost breakdown (including labor and travel costs) is shown in the billing breakdown section of the estimate.

Step 4: Adjust the Crew Size

The crew size is calculated automatically from the inventory. Use the Crew Size field to override it if you need more or fewer movers.

Step 5: Enter Access Details

Provide access information for both pickup and delivery locations:

Step 6: Save the Estimate

Once the inventory and access details are complete, save the estimate. It is saved as Draft status.

Sending an Estimate

Step 7: Send to the Customer

  1. From the Estimates list or the lead page, click Send on the estimate
  2. The Send Estimate to Customer modal appears with these options:
    • Send via Email — sends to the customer's email address
    • Send via Text Message — sends an SMS link (requires SMS plan)
    • Collect deposit when customer signs estimate — optionally require a deposit
    • Custom amount — override the default deposit amount
  3. Click Send Estimate

The estimate status changes to Sent. When the customer signs, it becomes Signed and a job is automatically created.
