Quick Start Guide: Complete Setup Checklist
Overview
This guide walks you through the essential setup steps to get your CRM operational. By the end you will be ready to manage leads, create estimates, and book your first job.
Who This Is For
Company owners and administrators setting up the CRM for the first time.
Navigation
The sidebar provides access to the main CRM sections. Administrators and owners can navigate to Dashboard, Calendar, Leads, Estimates, Jobs, Dispatch, Customers, Payments, Reports, Texting, Integrations, Data Management, and Settings, plus any plan-specific sections.
Step-by-Step Setup
Step 1: Complete Company Information
- Click Settings in the sidebar
- The Settings page opens to the Company tab by default
- Fill in the fields under Company Information:
- Company Name
- Phone Number
- Email Address
- Website
- MC License Number
- Insurance Policy
- Company Address (used for travel distance calculations)
- Upload your Company Logo — it appears on estimates and lead forms
Changes to company information fields save automatically as you type.
Step 2: Configure Pricing
- In Settings, click the Pricing tab
- Set your hourly rates and travel rates for local and long-distance moves
- Choose your Classification Method — the options are Distance Only, Interstate Only, or Distance OR Interstate
- Set the Tax Rate and any fuel surcharge
Pricing changes are saved automatically.
Step 3: Add Staff Members
- In Settings, click the Staff tab
- Click Add Staff Member
- Fill in First Name, Last Name, Email Address, Phone Number, Initial Password, and Role
- Available roles: Administrator, Moving Consultant, Dispatcher, Crew Leader, Mover, Accounting
- Click Add Staff Member to save
Step 4: Set Up Payment Processing
- In Settings, click the Payments tab
- Under Payment Processing Integration, use the Choose Payment Processor dropdown to select Stripe, Square, PayPal, or Authorize.net (or No Online Payments)
- Enter the required API keys for your chosen processor
- Configure Deposit Requirements for Local Moves and Long Distance moves
Step 5: Configure SMS (Optional)
- In Settings, click the Comms tab
- Under VoIP.ms Two-Way SMS, enter your VoIP.ms DID Number, copy the Webhook URL into your VoIP.ms portal, and check Enable SMS messaging
- Click Save SMS Settings
Step 6: Add Lead Sources
- In Settings, click the Lead Sources tab
- Review and customize the list of lead sources your team will use when logging new leads
Step 7: Set Up Inventory Items
- In Settings, click the Inventory tab
- Review and customize the default inventory items used when building estimates
Other Settings Tabs
Beyond the steps above, the Settings page also includes Terms (agreement text), Materials (packing material pricing), Capacity (truck sizes and crew), Billing (your subscription), and Auto (automations, if your plan includes them).
You Are Ready
With these steps complete your team can:
- Accept new leads using Leads → New Lead
- Build estimates from any lead's detail page
- Send estimates to customers via email or SMS
- Track jobs in the Jobs section
- Accept payments through the Payments section
