Setting Up Payment Processing
Overview
The CRM supports multiple payment processors so you can collect deposits when customers sign estimates and accept final payments after a job. This guide covers configuration and day-to-day payment management.
Configuring a Payment Processor
Step 1: Open Payment Settings
- Click Settings in the sidebar
- Click the Payments tab
Step 2: Choose a Payment Processor
Under Payment Processing Integration, click the Choose Payment Processor dropdown. Options are:
- Stripe
- Square
- PayPal
- Authorize.net
- No Online Payments
Select your processor.
Step 3: Enter API Credentials
For Stripe:
- Enter your Publishable Key (starts with
pk_test_orpk_live_) - Enter your Secret Key (starts with
sk_test_orsk_live_) - Get these keys from your Stripe Dashboard at dashboard.stripe.com/apikeys
For Square:
- Enter the credentials from your Square Developer Dashboard
For PayPal and Authorize.net:
- Enter the credentials from those platforms' developer portals
Step 4: Configure Deposit Requirements
Still on the Payments tab, set deposit amounts under Deposit Requirements:
- Local Moves — choose Flat Amount or Percentage
- Long Distance — choose Flat Amount or Percentage
Check We collect deposits from customers to enable deposit collection on estimates. When unchecked, deposit options are hidden throughout the system.
The Payments Page
Click Payments in the sidebar to manage all payment activity.
Summary Cards
At the top of the page:
- Total Payments — count of all payments
- Total Amount — sum of all payment amounts
- Completed — count of completed payments
- Today's Payments — count of payments received today
- Today's Amount — sum of today's payments
Filtering Payments
The Payments page uses two dropdown filters (not tabs) and a search field:
- Status dropdown: All Statuses, Succeeded, Completed, Pending, Processing, Failed, Refunded
- Method dropdown: All Methods, Stripe, Square, Card, Cash, Check, Bank Transfer
- Search bar: find payments by customer name, email, phone, or transaction ID
Creating a Payment Request
- Click Create Payment Request
- Fill in the Create Payment Request modal:
- **Customer *** — select the customer
- Job (Optional) — link to a specific job
- **Amount *** — payment amount in dollars
- **Payment Method *** — Stripe (Card), Square, Zelle, Venmo, or Cash App
- **Send Via *** — Email or SMS
- Notes (Optional) — additional instructions for the customer
- Click Send Payment Request
The customer receives a payment link at their email or phone number.
Payment Row Actions
For each payment in the list:
- Download Receipt — download a PDF receipt
- Send Receipt via Email — email the receipt to the customer
