Understanding User Roles & Permissions

Overview

The CRM uses role-based access so each team member only sees the menu items and features that fit their job. This guide explains the roles available when you add staff and exactly what each one can see in the app today.

The Roles

Administrator

Full access to everything. The sidebar shows Dashboard, Calendar, Leads, Estimates, Jobs, Dispatch, Customers, Payments, Reports, Texting, Integrations, Data Management, and Settings. Administrators can manage users and change company settings.

Moving Consultant

The standard sales role. The sidebar shows Dashboard, Calendar, Leads, Estimates, Jobs, Customers, and Texting. Moving Consultants cannot see Dispatch, Payments, Reports, or Settings, and cannot manage users.

Dispatcher

For office staff who schedule and coordinate crews. The sidebar shows Dashboard, Calendar, Dispatch, Jobs, Customers, and Texting, and they can assign jobs to crews. Dispatchers do not have a Leads or Estimates menu, and cannot see Payments, Reports, or Settings.

Crew Leader

Field supervisor role. The sidebar shows Dashboard, Calendar, Leads, Estimates, Jobs, Dispatch, Customers, Payments, Texting, and My Schedule. Crew Leaders can assign jobs and bulk-edit leads. They cannot see Reports, Settings, Integrations, or Data Management, and cannot manage users.

Mover

Crew member with the most limited access. The sidebar shows only My Schedule and the shared Calendar. Movers can also request time off. They cannot access any other section.

Accounting

"Accounting" appears as an option when you add or edit a staff member, but it does not yet have its own dedicated permission set in the app, so the access it gives is not reliable. For predictable access, assign one of the roles above instead (for example, give finance staff the Administrator role if they need Payments and Reports).

Managing Staff

Adding a New Staff Member

  1. Click Settings in the sidebar
  2. Click the Staff tab
  3. Click Add Staff Member
  4. Fill in the form:
    • First Name
    • Last Name
    • Email Address
    • Phone Number
    • Initial Password (the staff member can change this after first login)
    • Role — choose from the dropdown: Administrator, Moving Consultant, Dispatcher, Crew Leader, Mover, Accounting
  5. Click Add Staff Member

Editing an Existing Staff Member

  1. In Settings → Staff tab, find the team member in the list
  2. Click the edit option next to their name
  3. Update their details or change their Role
  4. Save your changes

Resetting a Password

Administrators can reset any staff member's password from the Staff tab using the reset password option next to each member's record.
