Converting Estimates to Jobs
Overview
When a customer signs your estimate, a job is automatically created. This guide covers the full job lifecycle from the moment the estimate is signed through job completion and final billing.
How an Estimate Becomes a Job
A job is created when:
- The customer signs the estimate through the online estimate-signing portal
- A deposit is collected (if deposit collection is configured)
When this happens, the lead status changes to Booked, and a new job is created with the status Booked. The job appears in the Jobs page.
The Jobs Page
Click Jobs in the sidebar to see all jobs.
Search bar: Search by job number, customer name, email, or phone.
Status filter options: All Statuses, Booked, Scheduled, In Progress, Completed, Canceled.
Sort options: Move Date, Booked Date, Customer, Job Value, Status, Job #.
Working a Job
Viewing Job Details
Click on any job to open its Job Detail page. The detail page contains:
- Job Info — customer details, addresses, move date, crew size
- Inventory — the item list carried over from the estimate
- Crew — assigned crew members
- Billing & Payments — billing breakdown and payment history
Time Tracking
Use the time-tracking buttons to record actual job time:
- Start Job — records the job start time
- Pause — pauses the timer (for example, for a lunch break)
- Resume — resumes the timer after a pause
- Finish Job (Stop Timer) — stops the timer and opens the finalize billing screen
Finalizing Billing
After clicking Finish Job (Stop Timer), the Finalize Bill modal opens. Here you can:
- Review the billing breakdown (labor, travel, and any existing charges)
- Add materials with their name, quantity, and price per unit
- Add additional charges using the Description and Amount fields
- Choose the payment method and finish with Charge & Finalize, or use Send for Remote Signature to have the customer sign and pay remotely
Documents
The Job Detail page provides access to:
- Pickup Agreement — the pre-move document the customer signs before work begins
- Delivery BOL — the Bill of Lading signed at delivery
Completing a Job
When you finalize the bill, the job status updates to Completed.
Job Status Flow
- Booked — the job was just created when the customer signed the estimate
- Scheduled — the job is placed on the calendar
- In Progress — the crew has started (Start Job has been pressed)
- Completed — the job is finished and billing is finalized
- Canceled — the job was canceled before completion
